Privacy Policy

When you create a portal account we store your email address, your name and - if you apply for membership - your roll number, department, phone number and the profile details you choose to share (photo, bio, skills, social links). Forms you submit on this site store the answers you give. If you sign in with Google, we receive your email address and name from Google and nothing more.

Your data is not sold, rented or shared with advertisers, data brokers or any third party for marketing. What officers and admins of the chapter can see in the dashboard is limited to what the site stores: your profile, your membership status and the responses you submit. Profile details you mark public appear on the public members page; everything else stays inside the chapter’s dashboard.

Site data is stored in a managed MongoDB database and uploaded images are hosted on Cloudinary. Emails are delivered through Resend. These providers process data on our behalf only to run the site - they are not given your data for their own purposes.

We email you about things you asked for or that concern your membership: account confirmation, application outcome, invitations, certificates, dues reminders and, if you opted in, the newsletter. Every email includes a way to opt out of non-essential mail.

The site sets one essential cookie to keep you signed in to the portal. There are no advertising cookies, no cross-site trackers and no analytics profiles built on your identity.

Your profile and account last as long as your membership with the chapter. Dashboard audit logs are deleted automatically after 7 days. Form responses are kept while they are useful for running the chapter and are then removed.

You can edit your own profile, social links and newsletter preference from the portal dashboard at any time. To correct something you cannot edit, to see everything we hold about you, or to have your account and profile deleted, write to us and we will action it.
